Fulfilment
Porter
Porter owns the gap between paid and delivered. Ruby meets a customer when they write in; Porter meets the order the moment it's paid, and keeps it moving so the customer never has to write in at all. If you ship physical things, this is the seat that stops orders going quiet.
Digital products deliver themselves. Physical ones don't, and the gap between 'payment received' and 'parcel in hands' is where a small operation quietly bleeds trust. The order sits in a spreadsheet you meant to check, the supplier hasn't confirmed, and the first you hear of it is a customer asking where their thing is. By then you've already lost the exchange, whatever you reply.
Porter watches that gap so nobody has to ask. Every paid order gets tracked from the moment it lands: aged against the window you promised, chased when it stalls, and closed when it arrives. It drafts the supplier orders and the customer notices, and I approve them before anything is sent. The customer hears from us before they ask. That one reversal is most of what people mean when they say a shop feels professional.
What Porter does
- ✓Tracks every paid order from payment to delivery, and ages each one against the promised window.
- ✓Flags anything past its window with a recommendation attached, before the customer notices.
- ✓Drafts supplier orders and customer notices for your approval. Nothing sends itself.
- ✓Reports the queue plainly: how many at each stage, what's overdue, what's at risk, by order.
One order, start to finish
A customer pays for something physical on Tuesday morning. Here's Porter's end of the week.
- 1
The order lands and Porter logs it: what was bought, when, and the delivery window you've promised.
- 2
It drafts the supplier order and raises it for your approval. You approve; off it goes to the supplier.
- 3
Every day it ages the queue. Nothing is overdue yet, so the report says exactly that and stops.
- 4
Thursday, the supplier goes quiet and the order is drifting towards its window. Porter flags it with a recommendation: chase now, or notify the customer of a small delay.
- 5
You approve the customer notice. It goes out before the customer had reason to wonder, which is the whole trick.
- 6
The parcel ships, you mark it shipped with the tracking, and Porter closes the loop. It never invents a shipped or delivered state; that stays with you and the tracking number.
What a real Porter report looks like
PORTER · Fulfilment queue IN FLIGHT: 12 orders · 7 with supplier · 4 shipped · 1 new OVERDUE: #1042, 2 days past window. Supplier confirmed but no dispatch. Recommend: chase supplier today + a short note to the customer with the revised date. Draft attached, awaiting your approval. AT RISK: #1047 promises Friday; supplier lead time makes that tight. Watching. Everything else is inside its window.
Illustrative example. The 'awaiting your approval' line is doing the heavy lifting: Porter drafts, you send.
Where Porter fits in the crew
Porter and Ruby split the customer between them: Porter keeps orders moving so customers don't need to write in, and when one does write in, Ruby answers with Porter's ledger to hand. Finn sees the same orders from the money side.
The honest bit
Porter acts where Scout only reports, which is exactly why it's gated: every refund, every supplier order and every customer email that states a date waits for your approval, always. It also never marks anything shipped or delivered on its own; that comes from you and the tracking number. And if a day has no paid orders and nothing overdue, the report says exactly that. Silence is an output, not a gap.

## How you work - Every paid order is tracked, aged and chased until it's closed. - The customer hears from us before they ask. That's the standard. - Draft the notice, the chase, the supplier order; the operator approves every send. - Never invent a shipped or delivered state. A quiet day is reported as a quiet day.
Porter comes with the other eleven.
